#EFIC2023 Registration

We are hard at work planning for a big, on-site, live celebration of science and education in Budapest, Hungary on 20-22 September 2023. Our #EFIC2023 scientific programme under Prof. Esther Pogatzki-Zahn’s congress theme “Personalised Pain Management: The future is now” includes in-person meetings, interactions and round table discussions with speakers, poster presenters and peers.

The European Pain Federation EFIC would also like offer those who cannot (or who choose not to) travel the option of benefitting from some of the scientific discussion at #EFIC2023. For this, we will be recording selected scientific sessions which, based on their educational value, will then be available on-demand via the EFIC Academy Education Platform for EFIC Academy members.

BEWARE – HOTEL FRAUD!

Unfortunately, several participants or exhibitors fall prey to accommodation or registration offers from fraudulent companies. These fake hotel providers present themselves as official land handler or housing bureau of our congresses, and sometimes even as members of our team.

How does hotel fraud work?
Fraudulent companies repeatedly call or email our attendees with room offers during the congress. Their fake website and/or email addresses often mention our conference name, and even include our logo in the hopes of looking like an official or legitimate accommodation or registration provider. These groups promote attractive deals with local accommodation providers, but once payment has been received, the company disappears and can no longer be contacted by phone or email. Once the attendee contacts the hotel directly about their room, they realise the hotel has no record of them or their stay. Not only is their money gone, they must then scramble to find last-minute accommodation, which is rarely convenient to the congress venue. Unfortunately, even if we do our best to stop these companies, there is always some of them that manage to create their scam.

How to avoid fraud?
Always follow the guidelines written on our website and our website only (as there are often fake websites using our name and logo). Book through our Official Accommodation Partner K.I.T. Group or Official Hotel Partners directly. We are working to deliver consistently the best hotels at the best rates to our participants. In the case you are willing to book your hotel through an other supplier, investigate and check carefully all documentation regarding the accommodation company. Avoid any provider without any web reputation.

#EFIC2023 Attendee Justification Letters

Whether you are looking to attend #EFIC2023 as a clinician or a researcher, you might need to persuade your employer/superiors of the benefits of attending #EFIC2023. You are free to use the template relevant to you and customise any elements to develop a proposal for your attendance at #EFIC2023 in Budapest in September 2023.

Registration Deadlines

The registration deadlines are as follows:

Early registration deadline: until 15 May 2023, 24.00 CET
Standard registration deadline: until 17 July 2023, 24.00 CET
Late registration: from 18 July 2023

Group Booking Deadline (10 or more delegates): 06 September 2023, 24.00 CET

Group registrations

The European Pain Federation EFIC is happy to offer discounts for group registrations at #EFIC2023. The following terms apply:

For a group above 20 participants: 10% discount
For a group above 50 participants: 20% discount
For a group above 75 participants: 25% discount

Trainees (Student/Fellow)

To register as a student, a proof of eligibility (copy of student ID or an official letter from the university confirming that they are a student at the time of registration and for the duration of the congress) is required and must be uploaded during the registration process directly on the platform.

Allied Health Professional

Nurse, Psychologist, Physiotherapist, Social Worker or Pharmacist for example – a proof of status is necessary.

Please note that the registration category Allied Health Professional is offered by EFIC in order to subsidize the registration cost for delegates working in clinics, caring for patients and those who have limited funding. This registration category is not intended for pharmaceutical employees and physicians, even if they work in one of the fields above. Physicians and commercial company employees should register as full paying attendees. Information regarding your registration category eligibility must be made available upon request by the Registration Secretariat. Failure to provide such proof upon request will lead to your registration status being revoked and a partial refund offered.

EFIC Academy Member, EFIC Chapter Member and IASP Member

The reduced registration fee for Members will be granted only to Members with an active membership at the point of registration. To register as an EFIC Academy, EFIC Chapter or IASP Member, information regarding your membership will be required upon registration.

Attendees from Low-Middle Income Countries

Reduced registration rates are available to attendees working in countries classified as lower or lower-middle income Economies by the World Bank (https://datatopics.worldbank.org/world-development-indicators/the-world-by-income-and-region.html), as well as Albania, Bulgaria, Belarus, Moldova, Romania, Russian Federation, Serbia, Kosovo, Turkey. A proof of your country of residency will be required for validation of the status (e.g. scan of passport/residency, supporting letter from the local company or hospital) at the time of registration and must be uploaded during the registration process directly on the platform.

Representatives of Patient Organisations

In order to register as participant from a Patient Organisation, a proof of affiliation to the Patient Organisation will be required for validation of the status (working for a patient organisation, either paid or voluntary) at the time of registration and must be uploaded during the registration process directly on the platform.

Accreditation

An application has been made to the UEMS-EACCME® for CME accreditation of this event and we will update this section as soon as we have received an answer. For reference, the previous Congress #EFIC2022 was accredited with 23 European CME credits (ECMEC®s).

Code of Conduct

Please familiarise yourself with the official #EFIC2023 Code of Conduct before the Congress.

Registration Cancellation Policy

Notification of cancellation must be made in writing and sent to the Congress Secretariat by email at efic-registration@kit-group.org. The notification must include all the relevant information regarding the bank account to which a possible refund may be remitted.

If the written notification of cancellation for the Congress registration and Pre-Congress Courses is received before the early registration deadline (15 May 2023), a full refund minus a handling fee of 50 EUR will be made. For cancellations received between 16 June 2023 and 17 July 2023, a full refund minus a 150 EUR (50 EUR for Allied Health Professionals, Trainees, Students and Patient Organisations) cancellation fee will be made. No refunds will be made for cancellations received after this date (from 18 July 2023 onwards).

Caution: Fraud

Be aware of fraudulent individuals and companies that claim to offer registration for Pain in Europe XIII and hotel accommodation in Dublin through fraudulent websites and/or by contacting you directly via email. These fraudulent agencies will look similar to the official EFIC 2023 Pain in Europe XIII but are not. The only official agency handling registration and accommodation is K.I.T. Group GmbH located in Berlin, Germany. The only email addresses you should communicate with will end in @efic.org or @kit-group.org.
