#EFIC2027 Financial Aid

The European Pain Federation EFIC Congress Financial Aid Programme has been established to promote equitable participation in our Congress by supporting delegates who would otherwise be unable to attend because of financial constraints. As the European Pain Federation EFIC aims to encourage communication and collaboration at European level, applicants from European countries will be prioritised. However, applications from outside of Europe will also be considered. Priority is given to early-career research participants, accepted poster/oral presenters, trainees and allied health professionals. 

The EFIC Congress Financial Aid Programme is intended to broaden international representation, strengthen scientific exchange, and support participation from under-resourced regions. Financial aid is competitive and subject to available budget. 

The decision of the EFIC Congress Financial Aid Committee of is final. Please be aware that due to limited funding, meeting the eligibility criteria does not guarantee funding. 

 
Eligibility Criteria

To be eligible for the congress financial aid, applicants must: 

  • Have submitted a complete financial aid application by the published deadline 
  • Be registered for the Congress (or complete their registration upon financial award confirmation) 
  • Demonstrate need for financial support 
  • Provide proof of institutional affiliation (University/Clinical Organisation) 
  • Submit a formal letter of support signed by their Head of Department / Institutional Supervisor / Employer confirming: 
    • Support for the applicants attendance at the EFIC Congress  
    • The inability of the institution to fully fund the applicant to attend
    • Relevance of attendance to the applicants professional development  
    • Applications without this letter will be considered incomplete and will not be processed. 
Priority Principles

Applicants will be assessed according to the following order of priority: 

  • Applicants from within the EU demonstrating financial need  
  • Applicants from outside the EU demonstrating financial need 
  • Applicants with accepted posters/oral presentations.  
  • Early-career researchers  
  • Allied Health Professionals 
  • Trainees 
  • First-time congress attendees 

Additional weighting will be given to applicants who: 

  • Applicants whose work aligns strongly with the Congress theme  
  • Are first author on an accepted poster 
 
Required Application Documents

A complete application must include the following: 

  • Completed application form 
  • A clear copy of your ID, Passport or Driver’s License in English indicating your date of birth 
  • Support letter from institution/organisation/Employer 
  • Poster/Oral presentation acceptance confirmation (letter/poster number) 
  • Statement of financial need (Max 250 words) 
  • Estimated travel budget 
  • Banking details for reimbursement 

Please note: Incomplete applications will not be processed. 

 
Funding

Eligible reimbursement may include support towards: 

  • Congress registration fee 
  • Economy travel (airfare/rail) 
  • Standard accommodation (up to an approved ceiling) 

Applicants should not book non-refundable travel until award confirmation is received. 

 
Funding Conditions

Funding is strictly conditional upon the following: 

  • Successful applicants must attend the Congress in full 
  • Successful applicants must attend a financial aid meeting with Congress organisers during the Congress 

Failure to comply may result in non-payment. Funding will only be paid after verified attendance and financial audit. 

 
Reimbursement Conditions

Financial aid is reimbursed after the congress only and the following will be required: 

  • Original receipts  
  • Copy of boarding passes 
  • Accommodation invoice 
  • Congress registration receipt 

Non-eligible costs include the following: 

  • Travel outside Economy Class (e.g business class) 
  • Any travel or accommodation upgrades 
  • Meals not included in the Congress registration  
  • Local tourism tax (where applicable) 
  • Taxi costs 
  • Visa costs 
  • Travel insurance  

Please note that only documented eligible costs will be reimbursed. 

Funding reimbursement is made exclusively by bank transfer. There are no cash payments. You will be asked to provide the following for reimbursement: 

  • Bank Name 
  • Name on account 
  • IBAN/SWIFT/BIC numbers
