Categories and Topics
Submission Types

Please note that you will be asked to submit your research under one of 3 types:

Type 1: Abstract Format (Completed research studies)

Suitable for:

  • Randomised trials
  • Observational studies
  • Systematic reviews / meta-analyses
  • Diagnostic/prognostic studies
  • Qualitative research
  • Animal / pre-clinical studies
  • Economic evaluations (completed studies)

Required structure:

  • Introduction: Background/Objective(s)
  • Methods/Analysis (Data Treatment): Study design, participants, materials, and analytical approach
  • Results: Main findings (with data, statistics where applicable)
  • Conclusions: Key interpretations and implications

Notes for submitters:

  • Abstracts should report completed research with results available at the time of submission.
  • Ensure that conclusions are supported by the data presented.
  • Use standard scientific terminology and clearly describe statistical analyses where relevant.
  • Ethical approval and informed consent procedures should be stated where applicable.
  • Avoid the use of unexplained abbreviations and ensure all data are presented clearly and accurately.

 

Type 2: Case Report / Case Series (Practice- or case-based submissions)

Suitable for:

  • Individual or small series of clinical cases
  • Illustrative cases highlighting new treatments, mechanisms, or adverse effects
  • Clinical practice guidelines or protocols derived from case-based experience

Recommended structure:

  • Background: Brief rationale for presenting the case
  • Case Description: Key clinical details, intervention, and outcomes
  • Discussion: Interpretation, lessons learned, and relevance to clinical pain practice

Notes for submitters:

  • Patient consent and ethical considerations must be addressed.
  • Avoid including identifiable patient data.
  • Clearly explain the educational or clinical relevance of the case(s).
  • Case reports should provide novel insights, unexpected findings, or important practical lessons for clinicians or researchers.
  • Where applicable, include follow-up outcomes and limitations of the case interpretation.

 

Type 3: Project / Protocol / Data Analysis Plan Report (Work in progress, planned projects, or methodological papers)

Suitable for:

  • Research protocols (planned or ongoing trials)
  • Data analysis plans or project proposals
  • Planned economic evaluations
  • Service evaluations, audits, or quality improvement projects
  • “Other” submissions (educational initiatives, methodological development, etc.)

Required structure:

  • Background/Rationale: Context and importance
  • Objectives/Aims: Clear goals and hypotheses
  • Design/Methods: Planned methodology or analytical framework
  • Expected Results/Impact: Anticipated findings and significance

Notes for submitters:

  • These submissions describe intended or ongoing work; final data are not required.
  • Clearly indicate project status (planned, ongoing, or near completion).
  • Describe the methodological approach in sufficient detail to allow scientific evaluation.
  • Where relevant, include information on ethics approval, trial registration, or stakeholder involvement.
  • Emphasise the expected contribution or innovation of the project.
Important

Regular vs. Late-Breaking Submission: Make sure to submit your abstract during the regular submission period

  • Please note: Only abstracts submitted in the first round of abstract submission (June to September 2026) will be eligible for Poster Prizes and considered for free communication in oral abstract sessions. While there will be a late-breaking abstract submission period at the end of 2026, late-breaking abstracts will not be considered for Poster Prizes. Additionally, there will only be one Guided Poster Walk comprised of abstracts submitted in the late-breaking period.
  • Only accepted abstracts of fully registered presenters will be included in the final scientific programme.
  • The presenting authors are expected to attend the Congress in person and present their poster.
  • Presenters are requested to settle their registration payment by Saturday, 1 March 2027.
 
Rules
  • All abstracts submitted online will be reviewed by the Scientific Programme Committee.
  • Abstracts should be submitted via the on-line submission system only: abstracts submitted by fax or email will not be reviewed.
  • Upon submission an automatic email confirmation of submission with an Abstract ID# will be sent: please make note of this reference number. In case you do not receive the submission confirmation email, please check your spam folder and make sure you have entered the correct email address. If you do NOT receive this confirmation email, please contact efic-scientific@kit-group.org
  • Abstracts must be received by the announced deadline. Abstracts received after the deadline will not be considered.
  • All abstracts must be submitted and presented in clear English with accurate grammar and spelling of a professional medical/scientific for publication. EFIC will not edit or correct the text and it will be posted online as submitted.
  • The abstract should not have been published and presented at a previous EFIC – Pain in Europe conference. Please note that research previously presented at national pain society meetings, including those organized by EFIC-affiliated societies (e.g. the British Pain Society), remains eligible for submission and presentation at the EFIC Congress.
  • To correct an abstract that has already been submitted or to submit another abstract, please log in to the submission system again (use the same email address). You will be able to EDIT the submitted abstract before the submission deadline and/or submit an additional abstract.
  • The presenting author is required to ensure that all co-authors are aware and consent to of the abstract and poster publication at the EFIC Congress.
  • RULE OF TWO: Same presenting author cannot be assigned to, or subsequently present, more than 2 (two) abstracts
    • If the originally designated presenting author is unable to attend the meeting, the poster can be presented by another registered co-author: a CHANGE OF PRESENTER must be requested before 1 March 2027.
    • If the originally designated presenting author and none of the co-authors are able register and attend the meeting a WITHDRAWAL of the abstract must be requested no later than 1 March 2027.
Abstract Submission Guidelines
PREPARATION GUIDELINES

Abstracts must be submitted in English with accurate grammar and spelling of a quality suitable for publication. If you need help, please arrange for the review of your abstract by a colleague who is a native English speaker, by a university scientific publications office (or other similar facility) or by a copy editor, prior to submission.

Before you begin, please prepare the following information:

  1. Presenting author’s information: (please note that the presenting author’s contact information (name and email address) will be used for further contact and verification of registration.)
    • Full name
    • Academic title and field of practice
    • Contact information (affiliation, email address, telephone number)
    • Number of years since PhD (< or ≥ 5 years)

ABSTRACT SUBMISSION GUIDELINES
  1. Preferred presentation type: Poster, Guided Poster Walk, Oral Presentation
  2. Abstract title – limited to 25 words in UPPER CASE
  3. Abstract body – limited to 250 words, including acknowledgements. (Please note: word count is affected when graphs/tables/images are included. We recommend using word-processing software, for example, Microsoft Word, for editing your abstract and counting the number of words.
  4. Abstracts should be structured as shown below:
    • Introduction: Background/Objective(s)
    • Methods/Analysis (Data Treatment): Study design, participants, materials, and analytical approach
    • Results: Main findings (with data, statistics where applicable)
    • Conclusions: Key interpretations and implications
  5. Use only standard abbreviations. Place special or unusual abbreviations in parentheses after the full word appears the first time.
  6. Graphs and images – Pictures/Graphs: Authors can include a maximum of 3 pictures/graphs. The maximum file size of each picture/graph is 500 KB. The maximum pixel size of the graph/picture is 600(w) x 800(h) pixels. You can upload graphs and images in JPG, PNG and GIF format only.
  7. Tables – A maximum of 3 tables of up to 10 rows x 10 columns can be included per abstract.
  8. Use generic names of drugs only.
  9. Express numbers as numerals.
  10. Abstract Topics – abstracts will be grouped into scientific/medical topics in accordance with the list of main topics. Please use the appropriate fields in the abstract submission form to list the topic most suited to your abstract. To preview the topics, please click here​.
  11. Target audience: You will be asked to select the audience groups that will be most interested with the topic of your poster. You can select multiple groups. This information will be used to generate tailored tracks within the scientific programme.

Selection of Presentation Formats

Please note all submission will be considered for Poster Viewing Sessions.

In addition, during the submission process, you will be able to express interest in participating in Oral Sessions, Poster Prize Sessions and Guided Poster Walks

Please note that the selected presentation format represents a preference only and cannot be guaranteed: allocation to oral, poster walk, or other session formats will depend on the scientific quality and evaluation of the abstract.

Guided Poster Walks are moderated poster sessions in which selected presenters give a short oral presentation of their poster to a small audience while guided by an expert chair/moderator. The moderator facilitates discussion, audience interaction, and questions as the group moves through a series of posters within a specific topic area. Early career researchers and early career clinicians are particularly encouraged to participate.

Oral Abstract Presentations // Free communications are reserved for the highest-rated abstracts and provide authors with the opportunity to present their research findings in a formal scientific session followed by discussion and questions from the audience and moderators.

Poster Prize Session is a competitive poster presentation format featuring a selection of top-scoring abstracts in clinical and basic & translational research categories. A short oral presentation of the Poster is followed by a discussion and evaluation by an expert jury. The session aims to highlight outstanding research by students and ECRs and identify the best poster presentations for award recognition. Only ECRs and PhD students are eligible to apply.

Disclosure of financial relationships that the author(s) may have with the manufacturer/supplier of any commercial products or services related to the work should be indicated in the appropriate box on the abstract form.

Consents on ethical practices research and patient data

All data and research presented at the EFIC Congress must originate from procedures and experiments conducted in accordance with accepted standards for ethical and experimental research practice. Submitters bear responsibility for the content of the abstract and poster that they present, whether oral or written. Appropriate consent from all collaborators and funders, where applicable, must be obtained before presenting at the EFIC Congress.

Responsibility for any research or data shared in sessions, posters, or other formal and informal settings lies solely with the presenters. EFIC accepts no liability for the data itself, its accuracy, or the methods used to obtain it. In submitting abstracts, authors unanimously agree to allow EFIC to display their materials both on site (in physical form) and online (in digital form), including via the Congress app.

All necessary patient consents for the use of patient data, images, videos, and other related materials must be obtained, and no identifiable patient information should be included in the submission or the subsequent poster or oral presentation.

 
Abstract Selection and Presentation

All abstracts will undergo a blind peer review conducted by members of the Scientific Programme Committee. The Scientific Programme Committee will decide the final type of presentation. Notifications regarding status will be sent in December 2026.

Financial Aid

The European Pain Federation EFIC has limited funding to provide aid to applicants from low resource and currency restricted countries. The financial aid coverage varies and may include accommodation, possible help in costs towards travel and daily expenses. Find out more here.
