
#EFIC2025 Poster Guidelines

The poster area will be situated in Forum 4&5: Exhibition & Poster Area (Level Lumière) of the Congress venue. Poster boards will be organized by topics:
A = Pain Syndromes
B = Basics in Pain
C = Diagnosis and Measurement in Pain
D = Pain Therapies
Poster Viewing will take place throughout the three days of the Congress: please note there is a daily exchange of the posters in the Viewing session.
Posters in Viewing Sessions will be presented (poster-side) during lunch breaks 12:30-14:00 on their presentation day in their designated area.
*Interpreting Your Poster Number: example: II-D.88
II – designates the day of your presentation (I=Day 1, II=Day 2, III=Day 3)
D – designates the Poster Area (A =Pain syndromes; B = Basics in Pain, C=Diagnosis and Measurement, D=Pain Therapies)
88 – designates the number of the poster board in the area
Posters in Guided Poster Walks will be presented orally in a moderated 60-min session 12:45-13:45 in their designated time and area. Audio equipment will be made available for the participants.

II – designates the day of your presentation (I=Day 1, II=Day 2, III=Day 3)

06 – designates the number of the poster board in the poster walk
For specific information on your abstract allocation (new poster number, day and session allocation) please refer to the Abstract Allocation Notification email. You can also consult the online programme where you should be able to find your poster in the programme by entering the abstract title or your name in the search bar.
Poster Board Presentations
Presenters are requested to stand by their posters during the lunch break from 12:30-14:00 on their allocated day for informal discussions. Please refer to the online scientific programme.
In order to give our EFIC delegates the maximum opportunity to learn from the rich science presented through the posters this year, EFIC organisers have arranged for the poster exhibition to be open throughout the day.
Poster presenters are required to display their posters for the entire day of their presentation within the following Exhibition/Poster Area opening hours:
Thursday 07:30 – 21:30
Friday 07:30 – 16:30
Saturday: 07:30 – 16:30
Poster Mounting and Dismantling Times

Poster presenters must plan the hanging and removal of their posters to be done within this times. Please note that posters not removed by 19:30 on the day of their presentation will be taken down by the staff and left unattended at the Posters Helpdesk.
You are requested to display your poster on the board with your Poster number within your selected topic. Our staff will be there to assist you in case you need help finding your designated board when mounting the poster. Hanging materials and support will be provided at the Poster Helpdesk.
The organizers are not responsible for any posters that have not been removed by the end of the Congress. Posters that have not been removed by this time will be discarded. Posters and other material will not be sent to you after the Congress.
Poster Board Instructions
- The size of your poster should be 1 cm in width and 118.9 cm in height (DIN A0 portrait).
- We advise you to use the tailored poster template prepared by our partner. Please download the poster template here. Should you wish to use your own poster template, we kindly ask you to use the congress branding elements (in terms of colours and layout) as found in the poster template in order to achieve a more cohesive look and ensure consistency of the posters. This will help attendees to quickly locate key information (e.g., title, authors, institutions). We advise using the colour codes: Red: HEX: #cf2f3a Blue: HEX:#0f73b6.
- Posters should be printed on paper (no textile) in portrait format: Posters printed on textile cannot be accepted.
- Materials for hanging your poster will be available at the Poster Helpdesk in the Poster area.
- Please add the title and authors, as stated on the submitted abstract, at the top of the poster.
- Please bring your printed poster with you, as printing facilities for this format are not available on-site.
Official poster printing service (optional): We are pleased to inform you that this year we will be working again with the innovative PosterSessionOnline service to provide a poster printing service for the 2025 Congress.
With PosterSessionOnline, you can effortlessly prepare, print, and have your poster delivered directly to the venue for 78€ + 21% VAT. This means- no need to carry it to Lyon – simply collect your poster at the congress., at the Poster HelpDesk.

- Keep in mind that your poster should have dimensions of A0 or 84 cm in width and 119 cm in height.
- The system supports both PowerPoint and PDF formats.
- You have the option to either use your own template or download the recommended template.Proceed to fill out the form, attach your poster and end the process by completing the payment.
Oral Abstract Presentation in a Workshop Session
Before the Congress
Please click below to download your presentation template with disclosure slide. Kindly note that you are recquired to use one of the CoI disclosure slides at the beginning of your Power Point presentation (as a second slide) declaring that you:
- a) have no conflicts of interest; or
- b) have conflicts of interest (as listed in the slide).

Recommendations
Please make sure to acquaint yourself with the programme of the workshop (content, format and invited speakers’ talks) within which your presentation has been included. Please note that you will be requested to participate in the joint discussion that will ensue at the end of the session. To ensure that the technical aspects of the session run smoothly, all presentations should be prepared according to the guidelines below. It is essential that:
- the correct format is used
- the presentation is uploaded on time in the Speaker Ready Room, at least two hours before the start of your session.
- you prepare and save your presentation on a USB memory stick, and as a backup, a 2nd portable medium and bring these with you to the Speaker Ready Room Onsite. We recommend that you label these materials with your name, session name, session date and presentation name.
Technical details
- Please use Microsoft PowerPoint (*.pptx or ppt), OpenOffice/LibreOffice Impress, PREZI or Adobe PDF presentations would be accepted as well. If you use MS PowerPoint, we recommend that you save your PowerPoint presentation using .ppt- or .pptx-format and not .pps or .ppsx
- All presentations will be presented in 16:9 format. The 4:3 ratio is possible but not recommended.
- Use of high contrast lettering and fonts, minimum size of 32p, high contrast layouts like light text on dark colours. Only fonts which are included in the basic installation of MS-Windows 10 will be available (English version of Windows). Use of other fonts not included in Windows can cause the wrong layout / style of your presentation.
- We recommend you make your slides as concise as possible by keeping texts short and avoiding too many bullet points.
Pictures and videos
- Save the picture you want to use as a JPG or PNG, set compression/quality to medium or high.
- It is mandatory to test your presentation with the on-site PC in the Speaker Ready Room several hours before your presentation. MPEG-4 format should work, but test is recommended.
- Movies or videos that require additional reading or projection equipment (e.g. DVD or BluRay player) will not be accepted.
- Save the pictures/videos used in your presentation separately on USB memory stick. In case of problems, we can re-insert the original items.
- Be careful to respect all author’s rights and to exclude data and/or graphic images which could reveal the patient’s identity without specific consent.
Onsite: Before and During your Session
Before your session
Please make sure to check in and upload your PPT in the Speaker Ready Room at least two hours before the start of your session. The organizers cannot guarantee a projection of presentations handed in later than two hours prior to the sessions.
Speaker Ready Room
The Speaker Ready room is located on Level Lumière of the Congress Centre (visible signage will be there to direct you).
As noted, presenters delivering oral presentations are required to present themselves in the Speaker Ready Room to upload their presentations at least 2 hours before the start of their session. In case of any unexpected delays or urgencies – please notify us at efic-scientific@kit-group.org.
Apart from the ppt upload, the Speaker Ready Room offers the opportunity to:
- Inform the scientific team staff member of any changes in your session
- Review and make last-minute changes to your presentation
- Consult with the technical staff on site

During your Session
- Please be in the session room at least 10 minutes before the session starts: meet the chair of the session and familiarize yourself with the equipment in the room. Technical staff will be present to assist you.
- Once it’s time for your presentation, please go to the lectern on the stage: you will be able to see your presentation on the laptop placed on the lectern and control/move slides during your presentation by remote control PowerPoint (please check this in the Speaker Ready Room in advance).
- Using your own laptop for your presentation is NOT possible.
- Please make sure to adhere to the time allotted for your presentation: 10 minutes have been accorded to oral abstract presentations within the workshops: please make sure to reserve at least 3-5 minutes of this time for the questions from the session chair/and or the audience.
- You are to participate in the joint discussion that will ensue at the end of the session and can remain seated on the stage after your presentation.

Guided Poster Walks
In the Guided Topical Poster Walks (Thu-Sat 12:45-13:45), scheduled within the larger Poster Viewing Session (12:30-14:00), Poster presenters will have the chance to deliver a short (5 min) oral presentation of their poster in a moderated poster session.
Please make sure to reacquaint yourself with the programme of the Guided poster walk to which your poster has been allocated (content, order of the presentation, moderators). Please consult the up-to date scientific programme here.
Poster Walks will take place from 12:45 to 13:45. These topical Poster Walks will showcase a selection of posters thematically linked to an EFIC2025 workshop and the Poster Walk will thus typically be led by the workshop chair and/or speakers.
Presenters are requested to be in their designated row at 12:35 (10 minutes before the start of the session) in order to make acquaintance with the moderators of the Poster Walk and familiarise themselves with the audio equipment. A host/hostess will be present should you require any assistance.
The 10 posters selected for this Guided Poster Walk will each have 5 minutes to briefly present their poster, including 2 minutes of their presentation reserved for Q&A. Time limits must be strictly obeyed.
Audio equipment for session participants will be provided onsite.
Poster presenters must display their posters (these remain on the same board) for the entire day of their presentation within the noted Poster Exhibition opening hours.
