Instructions for #EFIC2023 Speakers

Please find below important information for all #EFIC2023 speakers. Many thanks for your contribution in making our 13th Pain in Europe Congress in Budapest a success.

Speaker Ready Room

Please note that speakers are requested to get their printed badge at the speaker registration counter in the groundfloor foyer of the Hungexpo. The facilities in the #EFIC2023 Speaker Ready Room allow you to:

  • review your PowerPoint presentation
  • make last-minute alterations to your PowerPoint presentation
  • receive support from technical staff
  • upload your PowerPoint presentation to your assigned session room

To enable the staff to handle the technical aspects in an efficient way, all presentations should be prepared according to the guidelines below. It is essential that:

  • the correct format is used
  • the presentation is uploaded in the Speaker Ready Room at least two hours prior to your session (we recommend that you deliver your presentation the day before the session, if possible).

The Speaker Ready Room is located on the Gallery floor of the congress centre.

Speaker Ready Room Opening Hours:

  • Tuesday 15.00 – 19.00
  • Wed – Fri 07.30 – 18.00

In the registration area there is a dedicated desk for speakers to check in at. Throughout the congress, speakers can always approach the registration desk or the Speakers Service Centre with any questions.

Speaker Shuttle Transfer

Unfortunately, we are unable to provide free public transportation tickets for Budapest.

Instead, each morning EFIC will provide shuttle buses from the speaker hotels: Hilton Garden Inn and Barceló Hotel, to the venue. If you are not staying in either of the hotels mentioned you can meet the bus at the Szent István Bazilika stop.

There will be a dispatcher at the hotels. Please gather 15 minutes before the buses depart at the hotel lobby. We will escort you to the bus stop.  All buses will have EFIC signage on them.

The Budapest public transportation system is called BKK

Tickets can be bought at ticket vending machines or via the Budapest GO app (Android, IOS). Please note if you buy a single use ticket (or a pass via the app) you need to validate them before your journey! Here is more information on the different ticket types and prices.

  • We recommend using the 72 hour ticket (5500 Ft ~ 14,50 €), which can also be purchased at the ticket vending machines or via the APP
  • Important note – the airport bus 100E is not included in any tickets, you need to purchase a special airport transfer ticket.

Whilst travelling with public transportation you might notice a person with a wide purple BKK arm band. These are the inspectors who are there to check your ticket or pass. Please make sure you show a valid pass/ validated ticket if they approach you. In Budapest the fine for not having a valid ticket on public transportation is 25 000 HUF.

How to get to the venue?

If you are coming directly from the airport you can take bus 100E to Astoria metro station (1 stop ~35 minutes). At Astoria you can change and take the M2 metro, and follow the same route as someone who comes from the city centre. Please note you need to purchase a separate airport if you are taking this bus.

Hungexpo is located between two metro stops. If you are coming from the city centre on the M2 metro you will have 2 options:

  • Get off at Pillangó utca and walk 12-15 minutes to the Hungexpo entrance at Gate 2

  • Get off at Örs vezér tere and take the bus 10 EFIC shuttle.  The bus 10 route will circle the Hungexpo, travelling between the 2 metros stops and the gates of the Hungexpo. To access the conference please get off at Gate 2

At Örs vezér there are signs indicating the direction of the HungExpo. Please note the EFIC logo will not be displayed.

Taxis in Budapest

We recommend that you use a taxi from a recognized Taxi company and download their official app. It is easiest to download the app of one of the official taxi companies (e.g. Bolt, Budapest Taxi, City Taxi, Főtaxi and Tele5 Taxi). We recommend that you avoid a taxi with a ‘Freelancer’ sign indicated in black on the door of the car (i.e. no company logo). These taxis do not belong to any of the official taxi company and may charge you 2-5 times more than the usual rate.

At the airport there is an official taxi stand at the exit from customs.

Presenters and exhibitors are strongly encouraged to clearly indicate whether or not photography/recording of the poster, presentation, or exhibit booth and sharing/remixing of the material is permitted. Session Rooms

Each session room is equipped with:

  • Video projector
  • Lectern with microphone
  • Laser pointer
  • Laptop with operating system Windows 10 (English)
  • Remote control for PowerPoint


Please note that the seating setup of parallel 5 and 6 (where the Debate Workshops and the Demonstration Workshops are hosted) have a different configuration to other parallels. To increase interactivity and engagement during these workshops, we have set up the rooms in a semi-circle format.

Presentation Guidelines

Presentation Format

  • Please use Microsoft PowerPoint 2016 (*.ppt or .pptx) to guarantee your presentation will open successfully on an on-site PC. OpenOffice/LibreOffice Impress, PREZI or Adobe PDF presentations would be accepted as well.
  • If you use MS PowerPoint, we recommend that you save your PowerPoint presentation using .ppt- or .pptx-format and not .pps or .ppsx.
  • All screens in the session rooms are in 16:9 aspect ratio. However, 4:3 can also be used; in this instance the image will show up on screen with black bars left and right.
  • Please use high contrast lettering, fonts with a minimum size of 16pt, and high contrast layouts, for example light text on a dark background.
  • Videos from PowerPoint can be played in all rooms but these would need to be tested in the Speakers Service Centre once they have been transferred to the technician.


  • JPG images are the preferred file format for inserted images.
  • GIF, TIF or BMP formats will be accepted as well.
  • Images inserted into PowerPoint are embedded into the presentations. A picture resolution between 72 and 200 dpi is sufficient. Bigger files would only increase the file size of your presentation.
  • The maximum file size of images should not exceed 250KBytes.

 Movies / Videos

  • Because of the wide variety of video formats available, support cannot be provided for embedded videos in your presentation; please test your presentation on the on-site PC several hours before your presentation. Generally, the MPEG-4 and WMV format should work with no difficulties.
  • Movies or videos that require additional reading or projection equipment will not be accepted.


  • Only fonts which are included in the basic installation of MS-Windows 10 will be available (English version of Windows). Use of other fonts not included in Windows can cause the wrong formatting of your presentation.
  • Suggested fonts: Arial, Tahoma, Calibri
  • If you must use different fonts, these must be embedded into your presentation.

 Transfer of your Presentation

  • Please submit your presentation to the Speaker Service Centre using a USB memory stick.
  • Save all files associated with your presentation (PowerPoint file, movie/video files etc.) to one folder/location.
  • The conference staff will transfer your presentation from the Speaker Service Centre to the corresponding session room. You will find your presentation on the laptop (on the lectern) in your session room.
  • In the event that you have more than one presentation during the conference, kindly save the different presentations in different folders and name them clearly to avoid any on-site misunderstandings and problems.
  • Always make a backup copy of your presentation(s) and all associated files and save them on a separate portable medium.

Other Information

  • You can control/move slides during your presentation by remote control PowerPoint – please check this in the Speaker Preview Room in advance.
  • Kindly be at the session room 10 minutes before the session starts to meet the moderators of your session and familiarize yourself with the technical and other equipment.
  • Using your own laptop for your presentation is NOT possible.
  • All speakers are requested to adhere to the time allotted for their presentations.
